Shipping Policy
OEMHVACPartsCanada.ca ships HVAC replacement parts to customers throughout Canada. This policy explains our order-processing times, shipping carriers, delivery estimates, tracking information and possible additional shipping charges.
Shipping Within Canada
We ship HVAC parts to residential, commercial, urban, rural and many remote addresses across Canada.
Depending on the destination and shipment requirements, orders may be shipped using:
- Canada Post
- Purolator
- UPS
- FedEx
The carrier used for an order is selected based on the destination, package size, available service, shipping cost and estimated delivery time.
OEMHVACPartsCanada.ca reserves the right to select or change the shipping carrier when necessary to provide the most practical delivery option.
Order Processing
Most in-stock orders are processed within one to two business days.
Some orders may require additional processing time because of:
- Supplier availability
- Warehouse transfers
- Special-order products
- Seasonal demand
- Product verification
- Oversized or special-handling requirements
Processing time refers to the time required to prepare an order for shipment. It does not include the shipping carrier’s delivery time.
Orders containing multiple products may be shipped separately when items are located at different warehouses or supplied by different distributors.
Estimated Delivery Times
Delivery times begin after an order has been processed and transferred to the shipping carrier.
Any delivery date or shipping estimate provided on our website, during checkout or by email is an estimate only. Delivery dates are not guaranteed unless expressly stated otherwise by the shipping carrier.
Delivery times may be affected by:
- Severe weather
- Carrier delays
- Labour disruptions
- High seasonal shipping volumes
- Remote-area delivery schedules
- Government or transportation restrictions
- Circumstances beyond our reasonable control
OEMHVACPartsCanada.ca is not responsible for delays caused by the shipping carrier or other circumstances outside our reasonable control.
Shipping Charges
Shipping charges are normally calculated during checkout based on factors such as:
- Package weight
- Package dimensions
- Shipping destination
- Available carrier services
- Selected shipping method
Additional shipping charges may apply to:
- Oversized or overweight products
- Remote or rural destinations
- Products requiring special handling
- Shipments requiring multiple packages
- Supplier-direct shipments
If additional shipping charges are required after an order has been placed, we will contact the customer before processing the shipment.
The order may be placed on hold until the additional shipping charge is approved and paid.
Tracking Information
When tracking is available, the tracking number will be sent to the email address entered during checkout after the order has shipped.
Tracking information may take several hours to become active after the shipping label has been created.
Some supplier-direct shipments or deliveries to remote areas may have limited tracking updates.
A shipping notification means the order has been prepared for shipment. It does not always mean the carrier has already scanned or collected the package.
Remote and Rural Deliveries
We ship to many rural and remote communities across Canada. However, delivery options, transit times and shipping charges may vary depending on the postal code and available carrier service.
Some remote destinations may require additional delivery time or a shipping surcharge.
We will contact the customer before shipment if a significant additional charge is required.
Damaged Packages
Customers should inspect their package as soon as it is delivered.
If a package arrives visibly damaged, take clear photographs of:
- The outside of the package
- The shipping label
- The damaged area
- The packaging materials
- The product inside the package
Please contact us promptly and keep all packaging materials while the matter is being reviewed. The shipping carrier may require photographs or the original packaging when processing a damage claim.
Missing or Delayed Shipments
If tracking shows that a shipment is delayed, please allow the carrier reasonable time to complete delivery.
If tracking shows the package as delivered but it cannot be located, customers should first check:
- Around the delivery location
- With other household members or employees
- With neighbours
- At a building reception area or mailroom
- For a carrier delivery notice
Contact us if the package still cannot be found. We may need to open an investigation with the shipping carrier.
Carrier investigations can take additional time. Replacement or refund decisions may depend on the results of the carrier’s investigation.
